Terms of Reference for Graphic Designers

Background

The AHDR is a unique multi-communal, non-for-profit, non-governmental organization established in Nicosia in 2003 that envisions a society where dialogue on issues of history, historiography and history teaching and learning is considered a means for the advancement of historical understanding and critical thinking and is welcomed as an integral part of democracy and a culture of peace. The AHDR contributes to the advancement of historical understanding amongst the public and more specifically amongst children, youth, and educators by providing access to learning opportunities for individuals of every ability and every ethnic, religious, cultural, and social background, based on the respect for diversity and the dialogue of ideas. Since its establishment, the AHDR has broadened its mission by promoting peace education in formal and non-formal settings and is currently bringing together school children of all ages from all communities on the island; in this context, the AHDR has received acclaim from the UN Secretary General for its role in promoting contact and cooperation between the future generations of Cyprus.

To support its work, the AHDR requires professional services to help support the current and future project needs of the AHDR.

 Expression of Interest & Roster of Graphic Designer

The overall objective of this expression of interest is to create a roster of graphic designer, digital designer, and illustrator for the Association for Historical Dialogue and Research (AHDR) projects. Qualified graphic designer will be placed in the roster for the next one year in order to expedite the hiring process. Under the understanding for registering for the graphic designer roster the selected candidates will be contacted to see if they are available to provide graphic design and illustrations services when needed. The Roster will be maintained for a period of one year and will be reviewed and updated yearly based on performance and needs.

 Scope of Work and Responsibilities

The graphic designer will ensure effective and efficient provision of services, full confidentiality in all aspects of assignment, management of information flow and follow-up on deadlines and commitments made. Below are the key responsibilities:

  • Provide graphic design services for AHDR projects in the field of History Education and Peace Education;
  • Coordinate with the AHDR Director and Project Officer(s) until the completion of the assignment via email or phone;
  • Working in line with the vision, mission and objectives of AHDR and the project(s);
  • Ensure that the illustrations and designs (e.g., educational publications) are respectful to the sensitivities to the different stakeholders and communities;
  • Not disclosing any confidential information, materials, design or copyrights to third parties (all documents used within the project should be considered confidential);
  • Liaise with the AHDR Director and Project Officer(s) to ensure that illustrations and designs are true to the original meaning and in line with the organization’s requirements/approach;
  • Have a firm understanding of the topics at hand, consulting with experts in a specialist field, if required;
  • Maintain consistency and flow in illustrations and designs;
  • Ensure the timely response to the AHDR team’s requests;
  • Ensure the timely delivery of all agreed deliverables;
  • Receive comments and changes by the AHDR team on the design that will have been selected;
  • State the cost of extra changes, if any;
  • Aligns creative direction and design with AHDR brand and vision;
  • Ensure high quality, effective and efficient provision of services as well as confidentiality in all aspects of the assignment.

 

 Graphic Designer & Illustrator Requirements

Target area of interest:

  • History Education & Peace Education
  • Publications, papers, promotional material, website content, social media content and any other material relevant to the Association and its projects.

 

Required Qualifications & Competences

  • Bachelor’s degree or above in Graphic Design, Illustration, Animation, Digital Design, Digital Motion Design or in relevant fields;
  • Demonstrated substantive and technical expertise in relevant field;
  • Proof of continuing professional development;
  • Demonstrated experience as a professional graphic designer;
  • Demonstrated experiences as a brand designer;
  • Demonstrated ability to adapt plans, prioritize and deliver tasks on time;
  • Demonstrated idea generation and creative ability;
  • Demonstrated excellent English level;
  • Attention to detail;
  • Ability to grasp new concepts quickly. 

 

Evaluation & Selection of Applications

Graphic designers will be selected in accordance with their qualifications and demonstrated level of experience. This Expression of Interest does not entail any commitment on the part of the employer, either financial or otherwise. The shortlisted applicants will be provided with a short concept to design and submit to the AHDR team.

 Contracting & Rates

Successful graphic designers will be awarded an Agreement for Professional Services – Graphic Design Services and become part of a Roster of graphic designers for the AHDR projects.

The rates do not include VAT. Where applicable, the employer shall be liable to pay VAT taxation for the services upon receipt of a valid VAT invoice from the Contractor.

It is the responsibility of the contractor to ensure that they comply with all other relevant income taxations and social insurance payments. The employer has no liability for such taxes and duties (except VAT) payable by the contractor under this Contract.

The contract will establish a framework agreement for services when needed. This does not form a financial obligation or commitment from the employer at the time the contract is signed. Financial commitments will only be established each time the services are requested within the scope of the contract. Payments will be made upon completion of design services and submitted invoice by the Contractor. The rate of the contract is determined by the employer.
